FROM STOREFRONT TO FULFILMENT

Connect the work behind every order.

A customer asks where their order is. Your team checks the store, then the warehouse system, then a carrier email. We connect those handovers so people can find the latest record and deal with the exception.

CONNECTED RECORDS

Ecommerce system integration

Connect supported data flows between your ecommerce platform, point of sale and inventory or accounting software. Set a clear source for stock availability and order status. Show failed updates to the team before stale information reaches the next step.

ORDERS & EXCEPTIONS

Order and returns workflow automation

Route paid orders to the next task, flag a missing fulfilment update and collect the details needed for a return. Agree who approves refunds and unusual requests. A workflow should give staff a way to take over when an order falls outside the rules.

BUYER & TEAM ACCESS

Customer and wholesale portals

Give approved buyers a place to reorder, check an order or submit a request. For wholesale, plan account-specific access and approval steps around the information your systems can provide. Staff can manage outstanding requests in a shared workspace.

RETAIL SETTINGS

Built around the way you sell.

A furniture order needs different follow-up from a weekly replenishment. Choose a retail setting to see where a connected workflow could help.

IN STORE & ONLINE

Stores with an online shop

Connect online orders with store stock and collection tasks. Give staff a clear view of what is reserved, what is ready to collect and which order needs attention.

VARIANTS & EXCHANGES

Fashion and lifestyle brands

Keep variants and product information aligned across the catalogue. Bring return reasons and exchange requests into the support workflow, with stock and refund decisions checked against your rules.

LONGER ORDER JOURNEYS

Home and furniture retailers

Follow an order through supplier lead times, delivery bookings and customer updates. Make a changed arrival date visible to the people arranging the next step.

CATALOGUES & PRODUCT KNOWLEDGE

Specialist and independent shops

Connect catalogue information with the stock records you already maintain. Use approved product details to help customers find an answer and give staff the context for specialist advice.

ACCOUNT BUYERS

Wholesale and B2B suppliers

Give account buyers a clearer ordering path. Support repeat orders and internal approvals, with account permissions and pricing taken from the agreed business system.

SHARED STOCK & ORDER RECORDS

Multi-channel brands

Match product identifiers across sales channels and surface updates that fail. Help the team trace which system changed a record and decide how to resolve a conflict.

TIME-SENSITIVE ORDERS

Food and consumables retailers

Coordinate order cut-offs, availability updates and collection or delivery instructions. Where batch or expiry records are needed, confirm how the existing inventory system handles them.

RECURRING ORDERS

Subscription retailers

Connect subscription events to fulfilment tasks and customer enquiries. Show staff a failed billing or dispatch handover, with changes to billing arrangements handled through the approved platform.

FROM ORDER TO PILOT

Follow one order before changing the workflow.

Choose an order that needed manual chasing. We map how it moved through your tools, then define a first release your store and support teams can assess together.

  1. Trace the handovers

Follow the order from checkout through fulfilment and the customer conversation. Record where someone copied information, waited for an update or made a decision outside the system.

  2. Check the platform and the records

Review the features and apps already in use. Confirm the available connections and agree which system owns each record, including how refunds and stock adjustments reach other tools.

  3. Test the awkward orders

Pilot the workflow with a small team. Test split shipments, cancellations and a failed stock update alongside ordinary orders. Check what happens if a notification arrives twice or a supplier is unavailable.

  4. Review the operating effort

Compare manual follow-up and unresolved exceptions with the starting point. Include monitoring, corrections and subscription costs. Extend the workflow once the team can explain how it works and take over when needed.

AI FOR RETAIL & ECOMMERCE

Help customers find an answer.

AI can help customers find a product detail or prepare an answer for the support team. We define the approved sources and permitted actions for each task. Access to a customer’s order needs its own identity and permission checks.

Explore AI app development

Product questions with a reliable source

Answer questions from approved specifications and current store policies. Show the relevant product or policy page, and hand the conversation to a person when the information is missing or the request needs advice.

Order enquiries with context

An ecommerce support assistant can retrieve an authorised customer’s order status where the connection supports it. If a delivery update is unavailable, it should say so and pass the enquiry to the team with the order details attached.

Catalogue preparation for review

Turn supplier material into a proposed product description or attribute list, keeping the source available. Your team checks variants, measurements and any product claims before publication.

Follow-up that respects customer preferences

Connect approved customer events to the messaging tools you use. Keep service updates separate from marketing preferences, and check existing flows so a customer does not receive duplicate reminders.

DECISIONS BEFORE DEVELOPMENT

Start with the tools you already use.

Your store may already have a useful automation or an app for the job. We assess those options first. Custom work becomes useful when a specific handover, buyer experience or business rule still needs a better fit.

Agree where each record belongs

Choose the source for product, stock and customer data. Decide how changes move between systems and what staff see when records disagree. Confirm how quickly each connection can update before promising live availability.

Keep commercial decisions controlled

Define who can approve a refund, change a price or release an unusual order. Limit automated actions to the agreed scope and retain enough history for staff to review what happened.

Design for busy periods and recovery

Check volume limits and the effect of an unavailable platform. Plan retries that avoid duplicate actions, alerts with a named owner and a way to resume work after an interruption.

Plan the product beyond today’s backlog

Product management needs to anticipate new channels, account types and trading regions as the business grows. Design the permissions and data structure for that depth while keeping the first release manageable.

RELEVANT EXPERIENCE

Catalogue and business-system work you can explore.

Our work includes catalogue integration for a bookshop and an operational platform used by Grendesign. These examples show the kind of connected information we build on when scoping a retail brief.

PLANNING YOUR PROJECT

A few details before you start.

The useful starting point is your current store and a task that needs attention. These questions help establish the scope.

Can you work with Shopify, WooCommerce and our other systems?

We begin by reviewing your platform, account plan and installed apps, then check access to the specific records and actions the workflow needs. Shopify Flow and WooCommerce webhooks provide existing ways to connect some tasks; the right option depends on your setup. Any point-of-sale, inventory or accounting connection is scoped after checking its supported interfaces.

Do we need a custom build to automate the store?

Often an existing feature or app can handle a well-defined task. Shopify Flow already supports workflows built from triggers, conditions and actions. We compare configuration and available products with custom development, including the ongoing effort of maintaining the result. We can also assess a custom portal when the standard account experience leaves a clear gap.

What determines the cost and support after launch?

Scope depends on the systems involved, user roles and the exceptions the workflow must handle. A single order notification has a different scope from a wholesale portal spanning inventory and accounting. Allow for software subscriptions and any AI usage as well as development. Agree who monitors failed updates, supports staff and reviews changes when a connected platform is updated.
