RECEPTION, BOOKINGS & PRACTICE OPERATIONS

Make the next administrative action clear.

A patient may call to move a booking, ask how to find the practice or check which form to bring. We help organise those requests around the approved information, appointment system and staff member who can resolve them. Clinical advice and care decisions remain with your healthcare team.

PHONE & WEBSITE RECEPTION

AI receptionists for practice enquiries

Answer approved questions about opening hours, location and the booking process. Collect a callback request or an appointment preference using the details your practice agrees to request. Give callers a route to staff when the question needs an individual response.

BOOKINGS & FOLLOW-UP TASKS

Connected appointment administration

Link supported booking events, forms and reminders to the right administrative workflow. Make a cancellation request visible to reception and show whether it has been confirmed. We assess the practice software and available access before agreeing what an integration may change.

STAFF WORKSPACES & PATIENT ACCESS

Focused apps for practice staff

Give the team a task list for missing forms, callback requests and administrative work awaiting review. A patient-facing portal can collect or display the information included in its approved scope, with access designed around the people using it.

INTERACTIVE CONCEPT

Explore a sample practice dashboard.

Try the time-period controls and expand this medical-centre operations example. It uses a fictional practice, sample records and simulated activity. The dashboard illustrates ways to present administrative work and staff handovers; it is not connected to patient records and does not establish a clinical capability.

PRACTICES & HEALTHCARE ORGANISATIONS

Shape the workflow around your service.

The booking questions and administrative responsibilities vary by practice. Choose a setting to explore a possible starting point for a staff-led project.

RECEPTION REQUESTS & BOOKING CHANGES

General practices and medical centres

Organise appointment enquiries, change requests and routine practice questions. Give reception a record of the request and what still needs confirmation, while staff retain responsibility for individual patient matters.

APPOINTMENT PREPARATION & FORMS

Allied health practices

Collect appointment preferences and send approved preparation information for the booked service. Track administrative forms that are still outstanding so the team can follow up through the practice’s agreed channel.

NEW-PATIENT ENQUIRIES & REMINDERS

Dental practices

Help reception handle new-patient enquiries, appointment reminders and requests to rearrange a visit. Questions about treatment, suitability and an individual’s care go to the dental team.

REFERRAL ADMIN & FIRST VISITS

Specialist consulting rooms

Track referral paperwork requested by the rooms and administrative steps before a first appointment. Show staff which items are missing and who has followed up. Referral acceptance and clinical priority remain decisions for the practice.

BOOKING INFORMATION & STAFF HANDOVERS

Imaging and diagnostic services

Provide approved location, booking and preparation information for a confirmed service. Direct questions about results or personalised instructions to the responsible team, with enough administrative context to find the request.

SERVICE ENQUIRIES & COORDINATION

Community health services

Bring service enquiries and requests for a callback into a coordinator’s work list. Route each request to the relevant administrative team and record whether someone has responded, without making an automated eligibility decision.

LOCATION INFORMATION & REQUEST ROUTING

Multi-site practice groups

Keep location-specific hours, contact details and booking routes current. Help the central team direct a request to the appropriate site while maintaining the access boundaries between practices and staff roles.

INTERNAL TASKS & OPERATIONAL FOLLOW-UP

Practice management teams

Bring recurring administrative tasks, supplier queries and internal approvals into a shared workspace. Staff can see the owner and due action without using a separate patient record as a general office task list.

DESIGNING THE PRACTICE PILOT

Begin with a reception task staff can verify.

Choose an administrative request with a clear completion point. We work through how reception handles it today, then define what the first release can do and how staff will check it.

  1. Observe the request from call to confirmation

Use an anonymised example such as a request to move an appointment. Note the information reception asks for, the screen it checks and the message that tells the patient the change is confirmed.

  2. Agree the questions the assistant may answer

Prepare practice-approved wording for routine enquiries and identify the questions that require a person. Decide what details are needed for a callback and where a request involving someone else needs staff verification.

  3. Rehearse the awkward booking conversations

Test a cancelled slot, two people asking for the same time and a caller who cannot identify the appointment. Include a request the assistant cannot handle. Check the handover gives reception enough context without confirming an action that has not happened.

  4. Review the work left for reception

Have staff inspect a sample of completed requests and unresolved handovers during the pilot. Look for repeated questions, unclear confirmations and tasks that arrive without an owner. Revise the wording or workflow before widening its use.

INFORMATION HANDLING & HUMAN RESPONSIBILITY

Decide which information the task actually needs.

Patient-facing administration can involve sensitive information. The scope needs explicit decisions about collection, access and the systems handling each record. We work with the practice’s responsible people to define those decisions.

Limit collection to the agreed purpose

A general enquiry may need a callback number and an administrative reference. Define the fields required for that task and the information the assistant should avoid requesting. Keep sample and testing records separate from real practice data.

Confirm who can see or change a booking

Work through patient, family, carer and staff access with the practice. A familiar name or phone number alone should not silently authorise access. Define the verification step and which requests must wait for staff.

Follow information through the connected services

Document where form entries, messages and transcripts go, who can retrieve them and the intended retention and deletion process. Review hosting, subprocessors and account settings before connecting real practice information.

Maintain a clear boundary for clinical questions

Keep the assistant within its approved administrative scope. The practice defines how clinical or urgent concerns reach a person and what wording is used. Diagnosis, treatment, triage and interpretation of results are outside this page’s proposed automation scope.

FROM BRIEF TO A SUPPORTED WORKFLOW

Fit the pilot to the practice’s existing systems.

Reception already works across practice software, telephone services and patient communications. We inspect those connections and the people responsible for them before adding an app or assistant.

Check the permitted software connection

Identify the practice system, account permissions and supported booking actions. An integration may expose only part of the required workflow. Confirm those limits and any supplier approval before designing a patient-facing promise.

Separate an enquiry from a confirmed appointment

Agree the record that confirms a booking or cancellation. If staff must approve a request, show that state plainly to the patient and reception. Keep failed submissions in a work list so a request cannot disappear between systems.

Give staff control of approved practice information

Assign an owner for location details, fees information and preparation instructions included in the scope. Decide how changes are checked and published so a new staff member or location does not inherit an outdated answer.

Plan the handover into everyday use

Train the staff who receive requests and handle exceptions. Agree support arrangements, review access when roles change and include ongoing usage and maintenance costs. Keep a documented alternative route for administrative requests during an outage.

OUR OWN SYSTEMS & PRODUCTS

Product experience relevant to the admin brief.

Our connected-record and conversational products provide references for the design discussion. They are not clinical systems or evidence of a healthcare deployment. A practice project needs its own information-handling review and agreed scope.

CONNECTED ADMINISTRATIVE RECORDS

Grenconnect

Grendesign uses Grenconnect internally to connect customer, project and service information, including recurring work. Its customer portal is being piloted with selected customers. This informs our approach to linked administrative records and account access, without implying it is a patient record system.

HEALTHCARE ADMINISTRATION FAQS

Before an assistant answers for the practice.

Clarify the administrative scope, connection requirements and staff responsibilities before introducing a new patient-facing service.

Can an AI receptionist confirm medical appointments?

That depends on the booking system and the actions the practice authorises. A first scope may collect a request for reception to confirm. We agree which appointment types and changes can be handled, how identity is checked and what the patient sees while a request awaits approval.

Can this provide medical advice or assess symptoms?

The proposed service on this page covers administration. Diagnosis, treatment advice, clinical triage and result interpretation are outside that scope. The practice approves the response and staff handover for questions that need clinical attention.

How do you approach patient information?

We map the information required, the services that receive it and the people who can access it. The practice reviews the proposed collection, verification, storage and retention arrangements before real records are connected. We do not claim that adding an assistant by itself makes a workflow compliant.
