THE CLIENT JOURNEY

Less chasing between the enquiry and the work.

For consulting, accounting, advisory and other client-based firms, useful improvements often sit between the tools already in use. Start with the handover that creates the most follow-up.

CLIENT ACCESS

Client onboarding and portals

Give clients a shared place to provide onboarding information and see outstanding document requests. Your team can review submissions and track approvals against the engagement, with access separated by client and role.

RECURRING ADMIN

Document follow-up and workflow automation

Create the next task when an enquiry is qualified or an engagement is accepted. Schedule document reminders, then route exceptions to the person who can resolve them. An AI-assisted step can help interpret an enquiry where the rules alone are insufficient.

SYSTEM INTEGRATION

Connected client and engagement records

Connect your website, CRM and practice-management tools where their interfaces allow it. Move agreed updates into project or billing workflows, keeping a clear source for each record and a visible route for failed updates.

THE FIRMS WE CAN HELP

Built around your kind of client work.

The details differ between firms. Choose a profession to see where a portal, a connected workflow or a defined AI task could help.

ENGAGEMENTS & DOCUMENTS

Accountants & bookkeepers

Collect onboarding details and supporting documents against each engagement. Track missing information, send agreed reminders and give the team a clear handover into its practice tools.

MATTER INTAKE & COORDINATION

Law firms & legal practices

Capture a new enquiry, collect matter information and route it for review. A client workspace can bring requests and progress updates together while legal advice stays with the responsible practitioner.

FROM BRIEF TO DELIVERY

Consultants & advisory firms

Carry the approved brief into delivery, with shared project information and visible client actions. Search approved knowledge and prepare draft follow-ups for your team to check.

CLIENT INFORMATION & FOLLOW-UP

Financial advisers & brokers

Coordinate fact-finding forms, supporting documents and review tasks. Agree access, retention and approval requirements before connecting client information to an AI-assisted step.

BRIEFS, REVISIONS & APPROVALS

Architects & design practices

Keep a project brief beside client selections and design approvals. Make the current revision clear, capture feedback and hand agreed changes to the people doing the work.

PROJECT RECORDS & REVIEW

Engineering & technical firms

Connect project records with document requests and technical review tasks. Keep source references available when an AI feature helps staff locate approved procedures or prepare information.

INTAKE & ENGAGEMENT ADMIN

Recruitment & HR consultancies

Coordinate client briefs, candidate-provided documents and engagement tasks with agreed access. Automate administrative follow-up while people retain responsibility for hiring and employment decisions.

BRIEFS, FEEDBACK & DELIVERY

Marketing & creative agencies

Bring client requests and asset approvals into one workspace. Carry the agreed scope into project tools, follow up on outstanding feedback and keep the next action visible to the delivery team.

FROM ONE WORKFLOW TO A PILOT

Start with a part of the client journey you can assess.

Bring a recent engagement and the tools your team used. We work through what happened, identify the avoidable handling and agree a useful first scope before building.

  1. Follow the work

Trace the enquiry, document requests and internal handovers. Record who makes each decision, what information they need and where work waits for a response.

  2. Check the existing software

Review features and supported connections in your current tools. A configuration change or an established product may cover the need. Identify the remaining gap before commissioning custom software.

  3. Build a bounded pilot

Test one workflow with representative records and a small user group. Include incomplete submissions, rejected approvals and service failures. Agree what requires a person to review it.

  4. Review the operating effort

Compare follow-up effort and turnaround with the original process. Include time spent checking AI output, handling exceptions and maintaining connections before deciding what to extend.

AI WITH A DEFINED JOB

Give your team assistance they can check.

AI for professional services is most useful when its task and source material are clear. We can develop AI features within a staff workspace or client application, with the permissions and review steps the job requires.

Knowledge from approved sources

Help staff find relevant material in your firm’s procedures or approved reference documents. Keep source references available for checking, respect document access and agree who maintains the information.

Incoming document preparation

Classify a submission or extract agreed fields into a review queue. Show the source alongside the prepared result so a person can resolve uncertain information before it enters the engagement record.

Drafts for professional review

Prepare follow-up messages from meeting notes, or draft a proposal outline using approved inputs. Your team checks the result and approves client-facing material. Professional advice and client commitments stay with the responsible people.

Enquiries with a useful handover

A chat or voice assistant can explain published service information and collect details for your team. Define the questions it may answer and the point at which a person should take over.

DECISIONS BEFORE DEVELOPMENT

Choose what your firm can use and look after.

Professional services automation (PSA) products may already cover the project, resource and billing work you need. A custom portal or integration becomes worth assessing when a specific gap remains. We can help you compare the options and plan adoption.

A clear reason to build

Check existing product features, configuration and connectors first. Bespoke software needs an identifiable job: an unusual client journey, a shared view across systems or a workflow your current tools cannot support well.

Confidential information and access

Map the client information involved, where it may be processed and who may see it. Review supplier terms, retention and model settings against your firm’s requirements. Define client separation and approval boundaries before a pilot.

Costs beyond the initial release

Allow for software subscriptions, hosting, integration limits and any AI usage, alongside development. Agree responsibility for monitoring and support. A workflow needs enough recurring value to justify its ongoing operating effort.

Product management beyond the backlog

Experienced product management connects today’s requests with the depth the product will need as it grows. Plan for different service lines and the permissions and exceptions that appear as more people use the product. Keep the first release focused enough to test.

RELEVANT PRODUCT EXPERIENCE

Connected client work, in our own business.

Our own operational platform and a conversational product show different parts of this work. Their scopes vary; we use the examples to make a new brief more concrete.

Discuss your firm’s workflow

PRACTICAL QUESTIONS

Before you commission the work.

The first conversation should establish fit, scope and the responsibilities around the work. These are useful questions to bring to it.

Can you work with our existing practice-management software?

We first check what your tools already do and which supported connections are available. That can include the relationship between a CRM, practice-management platform, document storage and accounting software. Access permissions, subscription plans and API limits can affect the options. We confirm the proposed connection before making it part of the build scope.

What does an automation or client portal project cost?

The scope depends on the workflow, user roles and systems involved. A single intake-to-task connection is different from a portal covering several service lines with data migration and complex access. We work through the requirements before quoting a build. The discussion should also cover ongoing subscriptions, hosting, AI usage where relevant and support responsibilities; there is no single price that fits every firm.

How do you approach confidential client information?

We identify the information a workflow needs and agree its permitted use with your team. Design decisions include access by client and role, approved sources, storage, retention and the actions that require review. Supplier and model settings need to fit your firm’s obligations and client agreements. We test the relevant access boundaries as part of the agreed scope; professional decisions remain with your firm.
