THE WORK BETWEEN YOUR SYSTEMS

Give each request a clear route to resolution.

A repair can involve a tenant, an owner and an external contractor before anyone attends the property. We help property and facilities teams keep the request, the decision and the follow-up connected.

SHARED ACCESS

Tenant and contractor portals

Give tenants a practical way to report an issue with photos and check its progress. A contractor workspace can show assigned jobs, agreed access arrangements and completion records, with each person seeing the information their role requires.

REQUESTS & FOLLOW-UP

Maintenance workflow automation

Route a new request to the responsible manager, collect missing information and follow up outstanding quotes. Keep spending approval with the authorised person. Escalate overdue work and failed handovers so someone can resolve them.

CONNECTED RECORDS

Property software integration

Connect website enquiries and your CRM to property or facilities records where supported interfaces allow it. Agree which system owns each record, then make updates and failed syncs visible. Check existing product features before commissioning a connection.

EXPLORE AN INTERACTIVE EXAMPLE

See a connected property workspace.

Try a sales-and-listings workspace with sample data. It shows how property records and enquiry stages can sit together. For a maintenance project, we would design the equivalent view around your service requests and approval process.

PROPERTY TEAMS WE CAN HELP

Designed around the portfolio you manage.

The people involved and the approval process change with the portfolio. Choose a setting to see a useful starting point.

TENANTS & OWNERS

Residential property managers

Keep repair requests attached to the correct tenancy, with photos, owner decisions and the latest contractor update available to the managing team.

TENANCIES & SERVICE REQUESTS

Commercial property managers

Bring tenant requests and planned work into a shared view. Record the agreed responsibility for a job and route decisions to the people authorised to make them.

BUILDINGS & WORK ORDERS

Facilities management teams

Connect helpdesk intake to work orders and contractor updates. Show which requests are awaiting approval or attendance, alongside the information needed for the next action.

SHARED PROPERTY

Strata & owners corporation managers

Separate common-property requests from individual-lot enquiries. Keep committee decisions and approved work attached to the relevant building and job.

CONSISTENT SITE HANDOVERS

Multi-site workplace teams

Give each location a consistent way to report a problem. Let the central team review outstanding work by site while contractors receive the details of their assigned jobs.

A SHARED OPERATING VIEW

Owner-managed portfolios

Bring requests and recurring property work into a workspace suited to the size of the portfolio. Keep document access and approval responsibility clear as the team grows.

RESIDENT SUPPORT

Student accommodation operators

Help residents report an issue against the right building or room. Coordinate updates with the property team and retain the context when an enquiry changes hands.

DIFFERENT USERS, ONE PROPERTY

Mixed-use property teams

Support different request paths for residents, commercial tenants and building staff. Use role-based access so a shared property view still respects separate responsibilities.

FROM WORKFLOW TO PILOT

Start with one request your team can trace.

Bring a recent maintenance job or enquiry that needed repeated follow-up. We use the actual handovers to define the first release and a useful way to assess it.

  1. Trace the request

Follow it from the first message to completion. Identify where information was re-entered, which decision held it up and who needed the next update.

  2. Check the software already in place

Review your property-management or facilities platform, its existing workflows and supported connections. Confirm access and subscription requirements before committing to an integration.

  3. Test a focused pilot

Use representative requests with a small team. Include missing photos, duplicate messages, declined quotes and unavailable contractors, as well as the straightforward path.

  4. Review the day-to-day effort

Assess follow-up time and whether staff can see outstanding decisions. Include the effort of correcting records and maintaining the workflow before extending it across the portfolio.

AI FOR PROPERTY OPERATIONS

Use AI where the task can be checked.

AI for property management can help prepare information and answer bounded questions. We define the source material, permitted actions and human handover before adding it to a portal or internal workspace.

Clearer request intake

Turn an incoming message into a proposed job category and a list of missing details. Show the original message to the manager so they can check the interpretation before it triggers work.

Answers from approved property information

Help people find published building information or the right request form. A tenant-facing assistant needs clear limits and a visible route to the property team, including an agreed urgent-contact path.

Document preparation with references

Prepare a summary from an inspection record or contractor quote and keep the source available. Staff check the details and approve any instruction or client-facing update.

Enquiries that reach the right person

A chat or voice assistant can collect an enquiry and pass its context to the relevant team. Decisions about applications, spending and property access remain with authorised people.

DECISIONS BEFORE DEVELOPMENT

Keep the useful parts of your existing system.

Established property platforms already include portals and maintenance workflows. Facilities management software may also cover work orders and asset records. A custom build needs a specific gap to justify it; we help you assess that gap and the operating effort around it.

Supported connections come first

The platform, account plan and available permissions determine what can be connected. We check the proposed data flow and supplier requirements before describing an integration as part of the scope.

Access follows the property and the role

A tenant, an owner and a contractor need different information. Plan for tenancy changes, staff departures and reassigned jobs, including how access will be removed.

Exceptions need an owner

A workflow should show when an update fails or a response is overdue. Agree who monitors it and how staff can correct a record or take over the next step.

Plan for depth as the portfolio grows

Product management needs to anticipate different property types and approval rules beyond the current backlog. Start with a manageable release while designing the permissions and record structure for that growth.

PRACTICAL DETAILS

Questions before the first build.

A useful brief starts with your current workflow and the people who use it. These questions help establish what a change would involve.

Can you work with our property or facilities software?

We begin by checking your platform, account plan and the connections it supports. PropertyMe, MRI Property Tree, Re-Leased and other products already offer their own workflows or integrations; these may cover part of the requirement. We confirm access to the specific records and actions needed before quoting a connection. Naming a platform here does not imply a partnership or that every feature can be integrated.

Do we need a custom tenant portal or a new system?

Your existing tenant portal or facilities helpdesk may already support the task. Custom development becomes worth assessing when a defined need remains, such as access across several systems or a request path the current product cannot handle well. We compare configuration and existing products with a custom build before recommending the first scope.

What determines the cost and ongoing support?

The main factors are the workflow, user roles, data migration and the systems involved. An enquiry-to-task connection has a different scope from a tenant and contractor portal spanning several portfolios. Allow for hosting, software subscriptions and any AI usage as well as development. Agree who monitors failed updates, maintains permissions and supports the team after launch.
