RECEIVING, DISPATCH & CUSTOMER SERVICE

Give each shipment a usable history.

An order number, a consignment reference and a warehouse task can describe different parts of the same movement. We help join those records so staff can find the latest confirmed event, understand a delay and decide who needs to act.

SYSTEM INTEGRATION

Connect warehouse and transport updates

Bring agreed events from your warehouse management system, transport software and carrier services into the views that need them. Match references before passing an update on, and keep the source and time visible. Available access and supported events determine the scope.

INTERNAL APPS & CUSTOMER PORTALS

Build an operations workspace

Give the coordinator a work list for missing references, short receipts and orders held before dispatch. A focused app can attach the supporting records and the person responsible. A customer portal can expose the status and documents you approve for that account.

AI ENQUIRIES & ADMINISTRATION

Handle routine shipment enquiries

An AI assistant can collect an order or consignment reference, answer approved service questions and retrieve an authorised status where a connection supports it. Pass an unresolved enquiry to customer service with the relevant record and conversation attached.

INTERACTIVE CONCEPT

Move work through a shared board.

Open a card, try the stage controls or explore the navigation in this interactive project board. The supplied example uses a fictional manufacturing business and sample work orders. It illustrates a workspace pattern we can adapt to logistics; actions stay inside the demo and do not change a warehouse or transport system.

WAREHOUSE, FREIGHT & DISTRIBUTION TEAMS

Start where your operation loses the thread.

A fulfilment provider needs a different first view from a freight coordinator or a wholesale dispatch team. Select an operation to see a possible scope.

INBOUND RECEIPTS & DISCREPANCIES

Warehousing and distribution

Link an expected receipt to what staff actually record on arrival. Put quantity discrepancies and missing paperwork in a review list, with the supplier and purchase-order references available to the person following up.

CUSTOMER ACCOUNTS & SERVICE REQUESTS

Third-party logistics providers

Keep each customer’s orders, stock queries and dispatch requests separated by account. Give the service team an authorised view across the records it needs to answer that customer, including what is waiting on information.

ORDER EXCEPTIONS & MERCHANT UPDATES

Ecommerce fulfilment

Connect order exceptions to the fulfilment queue: an address needing confirmation, an item unavailable for picking or a requested change after packing. Staff can see the current stage before accepting a change or contacting the merchant.

BOOKING REQUESTS & CONSIGNMENT EVENTS

Road freight and transport operators

Collect collection requests and the details the scheduler needs to assess them. Bring supported consignment events into customer service, with a clear distinction between a planned movement and a confirmed collection or delivery.

DOCUMENT FOLLOW-UP & MILESTONES

Freight forwarders

Organise shipment references, requested documents and outstanding questions across the parties involved. A shared task view can show who owes the next document and which customer update is waiting on a confirmed milestone.

PART ORDERS & BACKORDER HANDOVERS

Wholesale and trade distribution

Keep sales and dispatch informed when an order is partly available. Connect the warehouse finding to the order record so the responsible person can decide on a split delivery, backorder or customer call.

RETURN RECEIPTS & REVIEW

Returns and reverse logistics

Record the expected return, the items received and the inspection outcome as separate events. Route missing items or a disputed condition to the right reviewer before the business approves a stock or account adjustment.

DEPOT TRANSFERS & RECONCILIATION

Multi-site stock operations

Bring transfer requests and receiving confirmations into a shared view across depots. Highlight movements without a matching receipt so the team can investigate the source records before making an inventory correction.

A PILOT BUILT AROUND YOUR HANDOVERS

Trace one consignment before adding automation.

Pick a movement your team knows well. We map the records and decisions around it, then test a narrow connection with the people who will use it during a shift.

  1. Collect the references at each handover

Lay out the order, receipt, warehouse task and consignment records for one movement. Identify how they relate, where staff search manually and which identifier survives when a shipment is split.

  2. Write the meaning of each status

Agree what counts as received, ready, collected and delivered in your operation. Name the source that can confirm each event. Decide which updates may reach a customer and which must remain an internal task.

  3. Replay the movements that need investigation

Test a short receipt, a duplicate carrier event and a delivery update arriving before a collection message. Have staff resolve the resulting work list. Check that an older event cannot quietly replace a newer confirmed state.

  4. Compare the queue with the shift handover

Run the pilot beside the current process and review what remains unresolved at the end of a shift. Look at repeated lookups, records without matches and customer questions that still require a call to the warehouse.

STATUS, ACCESS & EXCEPTIONS

Show what happened, and what is still unconfirmed.

A useful logistics view needs the context behind the status. These decisions shape what the application can safely tell staff, customers and connected systems.

Keep an event’s source and time

Record when a movement happened and when the update arrived. Preserve the original reference so staff can inspect it. A portal should show a last-confirmed update without presenting an old feed as a current location.

Restrict each account to its own records

Define which customers, depots and partner teams may see a shipment, document or stock view. Check access on the record as well as the screen, including downloaded files and links sent to customers.

Make discrepancies a task someone owns

A short receipt or unmatched reference needs an owner, supporting information and a next action. Keep the exception visible until it has been reviewed. Define how corrected information returns to the system that holds the operational record.

Keep commitments with the authorised team

An assistant can summarise an enquiry or prepare a customer reply from approved records. Staff handle disputed delivery evidence, credits and commitments beyond the published information. Warehouse safety and transport decisions stay with the responsible people.

PLANNING THE FIRST RELEASE

Connect the systems already moving your goods.

A warehouse platform, a transport system and an accounting package can each hold a different part of the story. We review their existing features and access before deciding where a custom connection or workspace is useful.

Choose the record that owns the answer

Identify where orders, stock quantities and transport milestones are maintained. A new workspace may display those records or send an agreed update; its permissions should reflect the specific action required.

Check how partner updates arrive

Review the available APIs, event messages and file exchanges for the actual accounts involved. Agree how often information can arrive and what staff will see during a delay. Confirm the supported fields before promising a live tracking view.

Plan for another warehouse or customer

Allow for different references, customer permissions and depot processes in the product design. Decide which parts can be shared and which need an account-specific rule. Keep the pilot small enough for one team to assess.

Give the integration an operating owner

Assign responsibility for failed transfers, changed carrier fields and access that expires. Include usage charges, monitoring and support in the scope. Give staff a practical way to continue the handover while a connection is being repaired.

OUR OWN SYSTEMS & PRODUCTS

Relevant product experience, clearly attributed.

These products inform how we design connected records and conversational access. They are examples of our work; a logistics application needs its own operational model and integration scope.

LOGISTICS AUTOMATION FAQS

Questions before connecting the dispatch desk.

The first conversation should establish what information exists, who can access it and which decisions your team wants help with.

Can you connect our WMS, TMS and carrier systems?

We assess the specific warehouse management system, transport management system and carrier services you use. Access may be available through an API, event messages or an agreed file exchange. We confirm supported records, account requirements and update frequency before defining the integration.

Can an AI assistant answer where an order is?

It can retrieve an authorised shipment status where the connected system exposes it. The answer should identify the last confirmed event and route unclear or disputed information to your service team. An expected date should remain distinguishable from evidence that a delivery occurred.

Do we need to replace our warehouse software?

We review the tools you already operate and the features available within them. The first scope may be a connection, an exception work list or a customer-facing view. Replacing a core warehouse or transport platform would be a separate decision with a much broader implementation scope.
