FROM ENQUIRY TO COMPLETED WORK

Carry the job details through to the next person.

A caller describes the problem, the office arranges a visit and someone on site finds out what the job actually needs. We connect those handovers so a change to the scope can reach the people preparing the quote, organising the crew or raising the invoice.

PHONE & WEBSITE ENQUIRIES

AI receptionists for trade enquiries

Collect the customer’s contact details, site address and reason for calling while your team is on the tools. An AI receptionist can explain approved service information and send the request to the office. Your team decides which enquiries need an urgent callback and who can confirm the visit.

CONNECTED JOB RECORDS

Job management and system integration

Pass supported enquiry, job and completion updates between your website, job management platform and accounting tools. Tie each update to the right customer and site. We check the available connections before agreeing which records can be created or changed.

FIELD APPS & CUSTOMER ACCESS

Apps for the office and the field

Give crews a focused way to submit job notes, photos and outstanding questions. A customer portal can show an approved status or collect information before a visit. The application is scoped around the work your existing job software leaves awkward to complete.

INTERACTIVE CONCEPT

Explore shift coverage, staff availability and requests in this interactive roster manager. The supplied example uses a fictional manufacturing team and sample records to illustrate a connected scheduling workspace. TRADES & FIELD SERVICE BUSINESSES

Build around the work your crew takes on.

The information needed for a repair call differs from a planned installation or a regular service round. Choose a trade to explore a possible first workflow.

REPAIR ENQUIRIES & SITE DETAILS

Plumbing and drainage

Collect the location and description of a reported problem, then give the office a callback list with the relevant customer record. Keep the enquiry attached to the eventual job so the plumber can see what was reported before arriving.

NEW WORK & TECHNICAL HANDOVERS

Electrical contractors

Organise requests for fault visits, installations and quoted work. Ask for the information your team needs to assess the request and route technical questions to the electrician. Staff confirm suitability, pricing and any booking.

EQUIPMENT HISTORY & SERVICE VISITS

Air conditioning and refrigeration

Link a service request to the correct site and equipment record where those details are available. Collect the reported symptoms for the technician and carry their findings back to the office for the next decision.

SITE MEETINGS & SCOPE CHANGES

Builders and renovation teams

Gather initial project information and organise requests for a site meeting. Keep questions about scope and approved changes with the job, so the person preparing a proposal can see what still needs confirmation.

SERVICE ROUNDS & FOLLOW-UP WORK

Landscaping and grounds maintenance

Coordinate recurring visits and new-work enquiries. A field app can record an access issue or unfinished task against the site, leaving the office enough detail to contact the customer and plan the return visit.

SITE ACCESS & CREW UPDATES

Cleaning and property service teams

Keep access instructions, customer requests and reported issues attached to the right location. Show the coordinator what the crew has submitted and which items require a response before the next scheduled clean.

ASSESSMENT REQUESTS & INSTALLATION ADMIN

Solar and energy installers

Collect installation enquiries and the information needed for an initial review. Track requested documents and site-assessment appointments, with design advice, suitability and the final proposal handled by the responsible team.

ASSET RECORDS & RETURN VISITS

Mobile maintenance and repair

Bring customer, asset and visit information into a usable field view. Record what was completed and what is waiting on a part or approval, so the office can arrange the next action without relying on a separate message thread.

HOW WE SHAPE THE FIRST WORKFLOW

Follow a real job through the office.

Choose a common job type and the people who handle it. We use its actual paperwork and handovers to define a pilot that the office and crew can judge together.

  1. Reconstruct one completed job

Start with the original enquiry and follow the records through to the invoice. Note which details were copied, what the technician had to ask again and where a change of scope left the office waiting.

  2. Separate requested, quoted and booked

Agree the events that move a job forward. An enquiry is ready for review when the required details are present; a visit is confirmed when the scheduler accepts it. Decide who approves the quote and any later variation.

  3. Rehearse a disrupted working day

Try a moved appointment, a missing site contact and an update submitted twice. Include poor mobile reception if the field app needs to cope with it. Check that the office can see what has arrived and what still needs attention.

  4. Review the jobs still waiting

During the pilot, examine incomplete briefs, unanswered customer requests and work waiting to be invoiced. Ask staff where they still have to chase information. Use that evidence to choose the next improvement.

DETAILS THAT AFFECT THE NEXT VISIT

Keep the job record useful when plans change.

Automation needs to distinguish a customer’s request from an approved instruction. We define those boundaries around your job types, staff responsibilities and the systems holding the current record.

Confirm the customer and the site

One customer may have several locations, and an existing site may have a new contact. Match the enquiry carefully before adding it to a job history. Keep access instructions visible only to people who need them for the work.

Prepare a quote for someone to review

An assistant can organise job notes or prepare a draft using approved information. The person responsible checks the scope, quantities and pricing before it goes to the customer. A later change should remain linked to that approval.

Make field submissions accountable

Attach a technician’s notes and photos to the intended job. Show whether an upload reached the office and who submitted it. Where offline capture is required, define how pending records and conflicts will be handled when the connection returns.

Keep technical judgement with the crew

Use an assistant for agreed administrative questions and handovers. Direct fault diagnosis, safe working decisions and requests beyond its approved scope to the qualified team. Give callers a clear way to reach a person.

SCOPING THE APPLICATION

Fit the connection to your job management software.

Review the platform already running your jobs before adding another tool. Its forms, customer messages or field features may cover part of the brief. We scope custom work around the remaining handover.

Check the records the platform exposes

ServiceM8 documents job and customer records and scheduled activities; Simpro documents jobs, quotes, schedules and other resources. We check the specific account, available actions and platform requirements before promising a connection.

Choose who owns a schedule change

A customer request, a dispatcher’s change and a technician’s update can arrive close together. Decide which system holds the confirmed booking and how the other views will catch up. Show conflicts to the person responsible for dispatch.

Allow for another crew or service area

Product management should look ahead to different job types, subcontractor access and a growing service territory. Plan the depth of those workflows early, while keeping the initial release focused on a task your current team can assess.

Give the office a repair path

A failed transfer should appear in a work list with enough context to fix it. Agree who monitors that list and maintains approved service information. Include software usage, support and platform changes in the operating budget.

OUR OWN SYSTEMS & PRODUCTS

Product work behind the conversation.

Our operational and conversational products provide concrete examples for the design discussion. They inform how we approach a new field-service brief; each trade business needs its own job rules and connections.

QUESTIONS FROM TRADE BUSINESS OWNERS

Before you connect the phone to the job list.

Start with the work you accept, how the office books it and which records the crew relies on.

Can an AI receptionist book trade jobs?

It can collect an enquiry, answer approved service questions and request a booking. Confirming a visit depends on access to your scheduling system and the rules your team agrees. We define what the assistant may confirm, what needs dispatch review and how a caller reaches a person.

Can you integrate with ServiceM8 or Simpro?

Both platforms publish developer documentation covering job-related records. We first check your account access, the required actions and any existing integrations. A supported connection may handle a defined record or event; we confirm the exact scope before development.

Will the crew need to replace its current app?

That depends on the gap we are solving. We start with your current job software and its native features. A first project might connect enquiries to existing records, while a custom field screen is considered only where the crew needs a different way to complete a task.
